Are you feeling overwhelmed with your to-do list? You’re not alone. During a recent conversation, a client commented, “Add that to my 40 things to do today.” Let’s dive into 2 strategies that prioritize tasks and shed light on opportunities for growth and leadership development.

Color Code Your Calendar: Start by giving your calendar a visual makeover. Color code different categories of tasks for a quick overview. This simple technique helps you identify where your time is going and ensures a balance between priorities.

Some use different colors to highlight task categories. Others use red and green to signify those activities they have to do versus those activities in their core genius that they get to do. Take it a step further and use a yellow highlighter for those activities only you can complete, and need to train others.

Strategic Priorities Spotlight: Which tasks directly impact our current strategic priorities? Shine a spotlight on these activities and allocate the necessary time and focus. This ensures alignment with your overarching goals.

Train and Delegate Spotlight: One measure of your leadership success is your ability to train others. Identify tasks that others can handle and those requiring training. Success means creating a team that can seamlessly take over, just like my approach with the Terrace Park Fire Department.

For a more profound understanding, embark on a 2-week time study. Shine the spotlight on:

  1. Time Wasters: Pinpoint activities that may drain your time without significant productivity. Weed out non-essential tasks, unnecessary meetings, and areas for delegation.
  2. Prioritize Tasks: Use the time study to prioritize tasks based on importance and urgency. Ensure your high-priority activities get the attention they deserve.
  3. Analyze Patterns: Look for patterns in your time usage. Recognizing recurring themes helps you make informed decisions about optimizing your schedule. For instance, what time of the day are you most productive? When are you able to focus on details better than any other time?
  4. Seek Feedback: External perspectives matter. Seek feedback from colleagues or team members about your time management. Valuable insights await. What is your 360-feedback strategy?
